Refund & Cancellation Policy

SFCA Organization (Annual Subscription)

This Refund & Cancellation Policy (“Policy”) applies to all purchases of SFCA Organization (“SFCA,” “we,” “us,” “our”) annual subscriptions and any associated services, including platform access, onboarding/configuration, compliance enrollment administration, institutional/network participation processing, consulting, training, RCM connectivity/tools, secure messaging/remote access, RPM telemetry interfaces, and specialty modules.

1. Required Customer Acknowledgment (Affirmative Consent)

To complete checkout or sign a contract, you must provide affirmative consent to this Policy.

Required checkbox text (use verbatim):

“I have read and agree to the Refund & Cancellation Policy. I understand SFCA services/subscriptions are non-tangible and irrevocable, and that no refunds will be issued once access is provisioned or work has commenced. I understand my subscription is annual and I may cancel renewal with at least 30 days’ notice before the next renewal date.”

2. Annual Subscription Commitment; No Pro‑rated Refunds

All subscriptions are sold on an annual basis and are billed in advance for the full subscription term.

No pro-rated refunds or credits are provided for partial-term use, unused time, downgrades, seat reductions, early termination, or cancellation after the start of the annual term.

If you choose to stop using the service during your term, your access may remain available through the end of the paid term (unless access is suspended/terminated under your agreement for breach, fraud, or legal/security reasons).

3. Services Are Non‑tangible and Irrevocable; No Refunds Once Provisioned/Commenced

Services are non-tangible and irrevocable. We do not issue refunds once the service is rendered or work has commenced.

For clarity, “access is provisioned” or “work has commenced” includes (without limitation):

  • Creating your account, tenant, workspace, or environment
  • Issuing credentials, enabling roles/permissions, SSO, MFA, or secure remote access
  • Configuring the platform, templates, modules, or interfaces
  • Activating training portal access, course enrollment, scheduling sessions, or providing training materials
  • Initiating any compliance enrollment administration tasks (intake, document review, form preparation, submissions, follow-ups)
  • Initiating institutional/network participation processing
  • Initiating any integration/API connectivity work (setup, mapping, testing, troubleshooting)
  • Producing any deliverables (plans, documentation, workflow diagrams, configurations, reports)

4. Cancellation Policy (30 Days’ Notice for Non‑Renewal)

Clients may cancel renewal with 30 days’ written notice before the next renewal date.

Cancellation stops auto-renewal for the next term; it does not cancel the current annual term or create any refund.

Notice must be sent to: billing@statefalseclaimsauditors.org (or info@statefalseclaimsauditors.org). Include: company/legal name, account email/ID, product(s) to cancel, and desired non-renewal effective date.

If you miss the 30-day window and a renewal is processed, that renewal is treated as a valid renewal for a new annual term and remains non-refundable once processed/provisioned.

5. Disputes, Chargebacks, and “Friendly Fraud” Prevention

SFCA maintains evidence to validate authorized purchases and service delivery, including (as applicable):

  • Checkout/contract acceptance records (timestamp, IP, user identity, checkbox consent)
  • Invoices/receipts and account identifiers
  • Access logs, audit logs, and provisioning logs
  • Support communications and ticket history
  • Meeting invites/attendance records
  • Work artifacts (configuration notes, implementation tasks, deliverables, training completion records)

By purchasing, you agree SFCA may use these records to respond to billing disputes and to demonstrate that services were authorized, provisioned, and/or delivered.

6. Fraud, Unauthorized Use, and Policy Abuse

SFCA may deny refunds and may suspend access if we reasonably believe a transaction is unauthorized, fraudulent, abusive, involves policy circumvention, or violates SFCA Terms & Conditions or applicable law.

If you believe a transaction is unauthorized, contact SFCA immediately at billing@statefalseclaimsauditors.org and support@statefalseclaimsauditors.org so we can investigate and attempt to resolve the issue.

7. Billing Errors (Limited Remedy)

If you believe you were billed in error (duplicate charge, incorrect amount, wrong plan), you must notify SFCA within 7 days of the charge date at billing@statefalseclaimsauditors.org with supporting details.

If SFCA verifies a billing error occurred, SFCA will, at its discretion:

  • Correct the invoice/charge, and/or
  • Issue an appropriate adjustment (which may be a correction, credit, or refund limited strictly to the verified overcharge).

This section applies only to genuine billing mistakes—not dissatisfaction, partial usage, or cancellation requests.

8. Taxes and Pass‑Through Fees

Taxes, governmental fees, and pass-through charges (if any) are non-refundable except where required by law or where SFCA confirms an error in calculation/collection.

9. How to Request Cancellation or Raise a Billing Concern

Send written notice to billing@statefalseclaimsauditors.org with:

  • Subject: “Cancellation Notice — [Account/Company Name]” or “Billing Issue — [Invoice #]”
  • Account email/ID
  • Services affected
  • Effective date requested (for non-renewal)
  • Any supporting documents (invoice, receipt, screenshots)

10. Policy Changes

We may update this Policy from time to time. Updates apply going forward from the “Last Updated” date, except where a different effective date is required by law or stated in the updated Policy.

“I agree to the Refund & Cancellation Policy and authorize SFCA to begin provisioning/access and any associated services immediately. I understand the subscription is annual, non-refundable once provisioned/work has commenced, and I can cancel renewal with 30 days’ notice before my next renewal date.”
